VCBF Vendor Information

  • Eligibitity

    In order to exhibit at the VCBF, vendors must either sell books, book-related products, or promote a literacy-oriented program.

    Thursday, October 12, 2023 from 9:45AM – 2:00PM


    Friday, October 13, 2023 from 9:45AM – 2:00PM

    Vendor set up begins at 7:00am

  • Vendor locations

    The VCBF vendor area is located in the Dorrill Lee Grand on the campus of Longwood University. The vendor area is adjacent to the VCBF bookshop and book signing area. Please note the busiest time of the day is during the mid-day break.

  • Vendor space criteria

    To ensure public safety and handicapped accessibility, passable walkways must be maintained at all times. All exhibitors must keep all displays and materials within the constraints of the booth space(s). Handing out of flyers or merchandise to festival-goers outside of assigned booth space is not allowed. Failure to adhere to these directions will result in your removal from the VCBF. Vendors are responsible for their own set up and clean up. VCBF staff will not be available to assist.

  • Taxes and sales

    Vendors are required to register with the Virginia Department of Taxation for the remittance of the state sales tax. To obtain a Virginia Identification number and register for state tax, contact Virginia Department of Taxation at www.tax.virginia.gov.

    All vendors are required to report and pay their own taxes. The VCBF is not responsible for reporting sales and/or paying sales tax on sales made at the VCBF for any vendor.

    All sales are handled directly by the vendor.

  • Insurance



    If selected for the festival, ALL VENDORS, NON-PROFITS, AND EXHIBITORS are required to maintain a comprehensive public liability insurance policy for personal injury or death, and for property damage occasioned by reason of the operations conducted by Vendor on the leased premises, including products liability, with a minimum combined limit of $1,000,000; said policy to include Eleven Pictures Ltd dba The Virginia Children’s Book Festival and Longwood University as additional insureds.

    Vendor shall furnish evidence of said coverage by and with an insurance company licensed to do business in the Commonwealth of Virginia, evidencing effective dates as 9-29-2023 through 10-01-2023.

    A Certificate of Insurance shall be registered in Vendor’s name as it appears on all documents submitted to the Festival Management. Without the Certificate of Insurance on file, you will not be able to be a part of the Festival.

  • Security

    The VCBF has secured 24-hour roving and stationary security to monitor the Festival and maintain safety. Security presence begins Tuesday, October 10 and ends on Friday, October 13, 2023. Please ensure that you take your own proper precautions in securing your operation, as the VCBF is not responsible for any lost, destroyed or stolen items.

  • Cancellation and refunds

    Exhibitors who cancel will receive a refund, but will be charged a $50.00 penalty fee if written notice is not received by September 25, 2023. Cancellations made after September 25 will not receive a refund.
